Childcare administration assistance is a vital part of any working childcare centre. You will use your strong customer service, organisational and administrative skills to manage accounts and answer queries. The administrative assistant role is often autonomous, and you’ll prioritise tasks according to the centre’s needs.

A childcare centre administrative assistant will be the main point of contact for everyone entering the centre. You’ll provide a friendly greeting to all our children and families and answer any questions they may have. You’ll be required to handle other enquiries through email or phone. You’ll also complete the administration tasks as required, including purchasing, filing, enrolments, and payroll.

What are the main duties of a childcare administrative assistant?

As a childcare administrative assistant, you’ll work with the leadership team, and your duties will include the following:

  • Answering all phone enquiries in a helpful and friendly manner
  • Responding to email enquiries
  • Complete payroll processes on Time Target
  • Managing daily roles and other processes through QikKids
  • Collating reports ready for the leadership team
  • Processing any new enrolments
  • Managing the online waiting list for new enrolments or enquiries
  • Ordering supplies, consumables, and resources for the centre
  • Assisting with any compliance documents

Administration assistants must have a current Working with Children check, and preference is given to people who have previously worked in a childcare centre or other administrative environments.

What does a childcare administrative assistant do on a daily basis?

The daily tasks a childcare administrative assistant completes are varied and can change depending on how busy the centre is at that time. At the start of your day, you’ll usually have a short meeting with the Centre Manager or Assistant Centre Manager, and they’ll assign you any special duties for the day.

After your meeting, you’ll be busy answering any email enquiries and greeting families as they drop off their children for the day. Our families like to be informed about anything at the centre, and you may be required to update them on special events. Most families will drop off their children at specific times, and you’ll soon learn when your busiest times are and when you can complete other tasks.

When the morning drop-offs are completed, you’ll focus on your administration tasks, such as purchase orders, payroll processes, new enrolments, handling deliveries, and other jobs. Towards the end of the day, you’ll greet the families as they start to come in and collect their children. As a childcare administrative assistant, you’ll find the daily tasks challenging, but you’ll soon find your rhythm.
