Key Responsibilities

Regulatory Notifications and NQAITS Management

  1. Prepare, submit, and manage notifications to the Safety and Education Regulators in accordance with legislative timeframes (e.g., serious incidents, changes to service details, complaints, etc.).
  2. Maintain a register/log of all notifications submitted, including supporting documentation and internal tracking.
  3. Liaise with Centre Managers/Directors to gather information, review accuracy, and clarify details prior to submission.
  4. Monitor the relevant regulatory notification portal for correspondence or follow-up from the Regulatory Authority and escalate as needed.

Compliance/Safety Reporting Support

  1. Assist in the preparation of reports on incident trends, compliance breaches, and risk areas for internal stakeholders.
  2. Maintain and update the central compliance database and incident registers.
  3. Ensure the correct storage, archiving, and confidentiality of all compliance/safety-related documentation.

Administration and Coordination

  1. Draft routine correspondence and prepare documents related to regulatory or compliance matters.
  2. Support the maintenance of the organisation’s Quality Management System by uploading, reviewing, and archiving policies, procedures, and records.

Stakeholder Liaison

  1. Provide administrative support to ensure timely responses to queries from internal stakeholders (e.g. centre teams) regarding compliance and notification processes.
  2. Support communication with external regulatory bodies as required.
