Key Responsibilities
Regulatory Notifications and NQAITS Management
- Prepare, submit, and manage notifications to the Safety and Education Regulators in accordance with legislative timeframes (e.g., serious incidents, changes to service details, complaints, etc.).
- Maintain a register/log of all notifications submitted, including supporting documentation and internal tracking.
- Liaise with Centre Managers/Directors to gather information, review accuracy, and clarify details prior to submission.
- Monitor the relevant regulatory notification portal for correspondence or follow-up from the Regulatory Authority and escalate as needed.
Compliance/Safety Reporting Support
- Assist in the preparation of reports on incident trends, compliance breaches, and risk areas for internal stakeholders.
- Maintain and update the central compliance database and incident registers.
- Ensure the correct storage, archiving, and confidentiality of all compliance/safety-related documentation.
Administration and Coordination
- Draft routine correspondence and prepare documents related to regulatory or compliance matters.
- Support the maintenance of the organisation’s Quality Management System by uploading, reviewing, and archiving policies, procedures, and records.
Stakeholder Liaison
- Provide administrative support to ensure timely responses to queries from internal stakeholders (e.g. centre teams) regarding compliance and notification processes.
- Support communication with external regulatory bodies as required.
