Position Summary

The Systems Support role provides operational support to centres across Guardian to ensure effective, efficient, and compliant workforce and systems management.
This role focuses on maintaining documentation in Humanforce, coordinating with centre managers on casual scheduling, and supporting with agency approvals in line with Guardian’s labour and occupancy targets as required.
The role also supports centre managers in day-to-day operations in systems management, provides systems troubleshooting, and works collaboratively with the network to ensure the right people are rostered and administrative compliance in systems is maintained.

Key Responsibilities

General Systems support

  • Provide support to centre teams on core systems and process used at Guardian, as well as a specific focus on Humanforce functionality, Shift bidder, rostering, and timesheet and scheduling management.
  • Review system data for accuracy and completeness, supporting centres to correct errors as needed.
  • Maintain consistent data quality and assist with periodic reporting.

Casual scheduling

  • Coordinate with centre managers and monitor casual scheduling across centres to ensure appropriate coverage.
  • Support centre managers in optimising shift patterns to ensure compliance and minimise unfilled shifts.
  • Review casual shift allocations in Humanforce to ensure high shift bidder compliance.
  • Assist with proactive workforce planning to ensure casual pools are effectively utilised before agency engagement.

Documentation and compliance

  • Ensure employment and regulatory documentation, timesheets, and agency approvals are maintained in accordance with Guardian policy and procedures.
  • Support with the review of Rostered Agency vs hours worked.
  • Provide clear feedback and coaching to centre managers to strengthen compliance discipline and accountability.

Agency

  • Support with the agency approval process as required, ensuring requests are assessed against labour targets and occupancy needs before approval.
  • Maintain accurate records of all agency requests, bookings, and associated documentation within Guardian systems.
  • Track agency usage trends and identify opportunities to reduce reliance through effective casual scheduling.

Skills and Experience

  • Strong working knowledge of Humanforce
  • Experience supporting casual scheduling, agency or general systems support
  • Familiarity with the ISS process, including claims and reconciliation (rostering and coding)
  • Strong understanding of rostering compliance, ratios and labour management
  • Experience managing large teams or multi-site.
