Baby Circle Terms and Conditions
Welcome to our Baby Circle. We are delighted to have you join us. To ensure the safety, wellbeing and enjoyment of all children, families and Guardian team members, we ask that all participants read and follow the conditions below.
1.Signing in/out of Baby Circle
We have legal obligations and requirements around knowing who is in our centre at all times.
- To participate in Baby Circle all adult participants must sign in and out of each Baby Circle session
- through our digital Visitor Log
- Our team will support you to sign in and out of each session
- Signing in and out of Baby Circle means you will have to provide personal information, including your name, telephone number and identification
What personal information we collect
Upon arrival at Baby Circle all adult participants will be required to provide details such as your full name, residential address, email address, telephone number, signature and proof of identity.
- Guardian recognises the importance of protecting your privacy and your personal information. Our policy for managing your personal information is outlined in our Privacy Policy and includes disclosure of the matters set out in the Australian Privacy Principles contained in the Privacy Act 1988
- Signing in and out of each Baby Circle session is an important safety requirement as this also supports our emergency evacuation procedures
2. Use of personal devices
Under Federal legislation, personal digital devices, including smartphones and smart watches, are not allowed in centres.
- The use of mobile phones, smartwatches or any digital devices in the centre or during Baby Circle is not permitted. Guardian has legal obligations and requirements around the use of digital devices to ensure the safety and protection of all children in the centre, and all participants at Baby Circle.
- Please keep mobile phones and other personal digital devices stored away unless they are required for an emergency.
- If you do need to use your personal device for an emergency, we will ask that you sign out of Baby Circle and use your personal device out of the centre
- Team members are permitted to use a Guardian owned and approved device with consent/permission from participants
- Any images of participants and babies captured by Guardian team members will be deleted following our policy and procedure guidelines regarding the use and storage of children’s images
3. Photography and Recording
To protect the privacy of all children and families:
- All families will be required to fill in a media consent form
- Photography, video recording and audio recording are not permitted during Baby Circle by anyone other than Guardian team members, and only with consent/permission from families and through the use of a Guardian owned and approved device
4. Participation
- Baby Circle is designed for babies and their parent, guardian or primary caregiver
- Families and caregivers are responsible for the supervision, care and behaviour of their baby at all times.
- Babies must remain with their parent or caregiver throughout the session
- All participants must respect the privacy of all participants and babies and not share personal information of other members or their babies without explicit permission
5. Policies and Procedures
At all times Guardian team members and participants of Baby Circle will abide by and follow Guardian prescribed policies and procedures. You can view our policies and procedures on our public website Policies – Guardian Childcare & Education
6. Child Safety
- Please respect the personal space of all babies and families
- Do not pick up, cuddle, feed, comfort or touch another person’s baby unless you have received clear permission from that baby’s parent or guardian
- If you or another family requires assistance, please notify one of our team members or the child’s parent rather than intervening yourself
7. Food and Drinks
To protect babies from harm within Baby Circle and children in our host centre with allergies and
maintain a safe environment:
- No food may be brought into Baby Circle (you can bring your baby’s bottle)
- Hot drinks and other hot liquids are not permitted within the centre or in Baby Circle
- Only water in a sealed container is permitted unless otherwise approved by the service
- Please advise educators if your child requires a bottle or food for medical or age-related reasons
8. Access to the Service
- Baby Circle participants are only permitted to access the designated play area and approved visitor amenities.
- Entry into classrooms, kitchens, sleep rooms, offices, staff areas or other areas of the service is not permitted unless invited and accompanied by an educator or authorised staff member
- Please remain within the designated playgroup area throughout your visit.
9.Health and Wellbeing
Please do not attend Baby Circle if you or your baby has:
- a fever or contagious illness
- vomiting or diarrhoea within the previous 48 hours
- cold and flu like symptoms
- symptoms of a respiratory illness that may place others at risk
- If your baby becomes unwell during the session, we ask that you leave the service to support their recovery and minimise the spread of illness.
10. Respectful Behaviour
- Guardian is a Child Safe Organisation, we are committed to creating a welcoming, inclusive and respectful environment.
- All participants agree to treat each other, all children and centre team members with respect and kindness at all times
- Participants and team members will be tolerant and accepting of diverse parenting styles and backgrounds.
All participants are expected to: - communicate respectfully with educators and other families
- support a positive and inclusive environment
- refrain from aggressive, abusive, discriminatory or intimidating behaviour
- follow reasonable directions provided by educators and service leaders
- Leave Baby Circle if requested by a team member
11. Equipment and Resources
- Please help your child use equipment safely and as intended
- Return toys and resources to the designated areas after use where possible
- Report any damaged equipment or hazards to an educator immediately
12. Personal Belongings
- Personal belongings remain the responsibility of each family
- The service accepts no responsibility for lost, stolen or damaged items
13. Emergency Procedures
- In the event of an emergency, all visitors must follow the directions of Guardian team members and participate in evacuation or lockdown procedures as instructed
14. Right to Refuse Participation
The service and Guardian team members reserves the right to ask any participant to leave or refuse future attendance where these conditions are not followed or where behaviour compromises the safety, wellbeing or privacy of children, families or staff
By registering and attending Baby Circle, you acknowledge that you have read, understood and agree to comply with these Terms and Conditions.
